Hours: 24 hours a week, hybrid. 

Location: Midtown Manhattan (3 days/week in office, 9:00 am – 5:00 pm)

Salary: $24.00 - $27.00 per hour

About the Role:

Citymeals on Wheels is seeking a highly organized and proactive Administrative Associate to support daily operations and ensure the smooth functioning of a fast-paced, mission-driven office. The ideal candidate thrives in a collaborative environment, can multitask well, has excellent communication skills, and enjoys supporting a team dedicated to serving older New Yorkers.

Key Responsibilities:

  • Demonstrated interest in or experience with supporting fundraising activities.
  • Research skills, including donor prospecting and information gathering.
  • Support event coordination, logistics, and on-site execution.
  • Provide general administrative support, including scheduling, calendaring, filing, and data entry.
  • Assist with administrative tasks such as acknowledgement letters and preparing mailing materials.
  •  Coordinate logistics for internal meetings, events, and staff activities.
  • Liaise with staff across departments to ensure timely follow-through on administrative needs.
  • Assist with donors, volunteers, or program-related administrative tasks as needed.
  • Ability to provide reliable front-desk coverage during peak reception hours (Tuesday–Thursday, 10:00 a.m.–3:00 p.m.).
  • Perform other administrative duties to support the mission of Citymeals.

Qualifications:

  • 1–3 years of administrative or office support experience, nonprofit experience a plus.
  • Proficiency in Microsoft Office (including mail merge).
  • Experience with Raiser’s Edge, Salesforce, or similar CRM tools.
  • Strong organizational skills and meticulous attention to detail.
  • Excellent verbal and written communication skills.
  • Ability to manage multiple tasks and prioritize effectively in a dynamic environment.
  • A team player with a positive attitude, discretion, and strong interpersonal skills.
  • Familiarity with Monday.com or similar project management platforms is a plus.
  • Ability to work occasional evenings and weekends as needed for events.
  • Genuine enthusiasm for Citymeals’ mission and a belief in the power of food to build connection and community.
  • Should be able to lift 10 lbs.
