Citymeals on Wheels provides a continuous lifeline of nourishing meals and vital companionship to nearly 20,000 homebound elderly New Yorkers, helping them live with dignity in their own homes and communities. Citymeals is seeking a detail-oriented Associate, Database to maintain constituent and gift records. The Associate will be responsible for gift processing and data entry. The role will also support the acknowledgment process and help with the monthly giving and holiday card programs. In addition, the Associate will assist with day-to-day administrative needs and data clean-up efforts.

The successful candidate should be a data enthusiast eager to work in a team environment and comfortable fielding donor questions and concerns.

Citymeals is working on a hybrid schedule, with two days a week in our Midtown office. The Associate is a non-exempt position and will report to the Manager, Gift and Data Operations.

The qualified candidate must be fully vaccinated.

Responsibilities

  • Process all donations (online, in-house, caging company and phone) in the Raiser’s Edge/NXT database with accuracy, timeliness, and strict attention to detail.
  • Prepare donor acknowledgement letters and other correspondence.
  • Act as a point of contact for donor inquiries: answering phone, taking donation information, responding to questions, and routing calls as appropriate — all while ensuring timely and efficient customer service.
  • Update constituent records (addresses, mailing preferences, constituent and solicit codes, attributes, and other information) in Raiser’s Edge/NXT ensuring consistent quality.
  • Assist with database hygiene, including merging duplicate records, data field management and running data clean-up queries. Follow established business rules around data hygiene and data entry standards.
  • Assist the Finance Department with gift reconciliation, including issuing and processing refunds.
  • Assist the Direct Response team with the recurring gift program, with focus on operational procedures such as monthly statements, card expiration notices and annual tax receipts.
  • Process holiday card orders, maintain card inventory log and help oversee card fulfillment.
  • Assist in creating, updating and maintaining organizational procedures for all gift and data processing tasks.
  • Assist managers in development and implementation of data management processes.
  • Additional clerical and administrative duties as needed.

Requirements

  • Enthusiastic about working in a mission-driven nonprofit organization that values and promotes diversity and inclusion.
  • Associate’s degree or minimum two years relevant experience in a nonprofit, database and/or customer service environment.
  • Experience working with a database, preferably Raiser’s Edge/NXT or a similar CRM system.
  • Comfortable processing large amounts of data with a high degree of accuracy.
  • Thrives on routine, able to work independently and efficiently under deadline and proactively manages expectations.
  • Incredibly detail-oriented, organized, and focused, yet adaptable and responsive as needs and priorities change; seeks out solutions when faced with challenges.
  • Dependable and self-motivated team player with strong ability to communicate and work well with others at varying levels within the organization.
  • Strong computer skills, including Microsoft Suite (Word and Excel); ability to learn new applications quickly.
  • Ability to think critically and apply analytical skills to problem solving.
  • Excellent oral and written communication skills
  • Bilingual English-Spanish a plus.
